Practice Policies

The Harmony Roots Willow Tree

The following information is provided to help prospective and current clients understand how Harmony Roots Therapy operates.

These policies are designed to support clarity, consistency, and a respectful therapeutic relationship.

 

Questions are always welcome.

Making an Appointment

 

Clients can request services in one of two ways:

 

 

Consultations

 

Consultations are free, 10-minute conversations intended to help determine whether Harmony Roots Therapy is a good fit for your needs and within the clinician’s scope of practice.

 

Consultations are used to:

  • Briefly discuss your concerns and goals

  • Review availability and next steps

  • Determine whether therapy may move forward or whether a referral is more appropriate

 

Longer or in-depth conversations may require a scheduled session and associated fee.

If we agree to move forward after a consultation, an initial intake session will be scheduled.

 

Please Note:  Intake paperwork must be completed and signed before an initial session can be scheduled.

 

Sessions & Scheduling

Therapy sessions are typically 53–60 minutes, unless otherwise discussed and scheduled in advance.

 

Sessions are offered via telehealth only and are conducted through SimplePractice, a secure client portal used for sessions, forms, billing, and most communication.

If you arrive late to a session, the session will still end at the scheduled time to respect other clients and appointments.

Cancellations, Attendance & No-Shows

Your therapy time is reserved specifically for you. Consistent attendance supports the therapeutic process and allows us to work together effectively.

Cancellation Policy

Please cancel or reschedule appointments at least 24 hours in advance. This allows the session time to be offered to another client.

No-Show Policy 

  • The first no-show or late cancellation is waived as a courtesy.

  • After the first occurrence, no-shows or cancellations with less than 24 hours’ notice may be charged the full session fee.

  • No-show fees do not apply to Medicaid clients.

 

Repeated Missed Sessions

Three (3) or more no-shows within a 90-day period may result in a review of whether ongoing therapy is clinically appropriate. This policy applies to all clients, regardless of insurance.

If you are experiencing barriers related to attendance, scheduling, or engagement, please let us know. We are open to discussing challenges and working collaboratively when communication occurs before missed appointments.

Fees, Payment & Billing

Payment is due at the time of service unless other arrangements have been made.

  • A credit card must be kept on file to begin therapy services for copays or session fees.

  • Returned or declined payments may incur an administrative service charge.

 

Harmony Roots Therapy offers insurance, self-pay, and sliding-scale options when available. Please click here for detailed information about billing, insurance, and payment options.

 

Telehealth & Communication

Harmony Roots Therapy is a telehealth-only practice. Sessions are conducted through SimplePractice. Most communication occurs through the SimplePractice client portal. Email or SMS may be used only for limited administrative purposes when necessary. Communication outside of sessions is not intended to replace therapy and should not be used for urgent or crisis support.

 

Emergencies & Crisis Support

Harmony Roots Therapy does not provide emergency or crisis services.

If you are experiencing a mental health emergency or are at risk of harming yourself or others, please:

  • Call 911

  • Go to the nearest emergency room

  • Contact the 988 Suicide & Crisis Lifeline (U.S.)

 

Confidentiality & Privacy

Client privacy and confidentiality are maintained in accordance with ethical standards and applicable laws. There are legal and ethical limits to confidentiality, including situations involving risk of harm, abuse or neglect, or court orders. These limits are reviewed in detail during the intake process.

 

Social Media & Online Presence

To protect client privacy and maintain clear professional boundaries, Harmony Roots Therapy does not engage with current or former clients on social media.

  • The clinician maintains public-facing professional accounts.

  • Friend requests, follows, comments, messages, or interactions from clients will not be accepted or responded to.

 

This policy is in place to protect confidentiality and preserve the integrity of the therapeutic relationship.

Practice Fit & Scope of Care

Harmony Roots Therapy provides outpatient psychotherapy. Therapy may not be appropriate for all needs or at all times.

If concerns fall outside the scope of this practice, referrals to additional or alternative resources may be provided. The therapeutic relationship is collaborative and may be re-evaluated as needs or circumstances change.

 

Policy Updates

Practice policies may be updated periodically to reflect changes in laws, technology, or practice operations.

 

Clients will be informed of significant updates as appropriate.
